Staff accounts & roles

Give your team their own logins and control exactly what each person can see.

Staff accounts are a Pro feature. On Free and Basic, the owner is the only login.

Why this exists

Sharing your own login with a teacher means they can see your revenue, your student list, and your settings. Staff accounts fix that — everyone gets their own login, and you decide what each person can open.


Step 1 — Add a staff member

Go to Team → Staff and add the person's name, phone number and email. They receive an invitation to set their own password.


Step 2 — Pick a role

The role you choose pre-fills their permissions. You can still change any individual toggle afterwards — the role is a starting point, not a lock.

TeacherSees students and batches, marks attendance. No fees, no leads, no settings.
CustomEverything starts off. You switch on exactly what you want.

Step 3 — Fine-tune the permissions

Each module can be set to Off, View, or Manage.

  • Off — the module does not appear for them at all
  • View — they can look, but not change anything
  • Manage — they can add, edit and delete

The nine modules are Students, Batches, Attendance, Leads, Fees, Memberships, Reports, Settings and Activity.

Activity is the exception — it offers Off or View only. There is nothing to "manage" in a log.


The finances toggle

Separate from the module permissions is a finances switch. This controls whether the person can see money totals — revenue, collections, outstanding sums.

This is deliberately separate. A manager may well need to record a payment without being able to see what the studio earned last month. Manager and Teacher both have finances off by default.


Who can see the Activity log

Activity is off for every role by default, including Manager. It is the accountability log, and it shows your own actions alongside everyone else's.

Because of that, it is never granted by picking a role — you have to switch it on deliberately for a named person.


Changing or removing access

Open the staff member from Team → Staff to change their role or individual permissions at any time. Removing a staff member revokes their login immediately; their past activity stays in the log.
