Getting Started

Importing and exporting data

Migrate students, memberships, and payment history from your old software — or export everything to Excel.

Where to find it

Go to Settings → Data management and click Open import / export. The dialog has Import and Export tabs.


Importing

Upload your old software's .xlsx export (FitGym format works out of the box) or a StudioPartner-format file. The import runs in 3 steps:

  1. Upload — click the upload area and pick your .xlsx / .xls file
  2. Select — StudioPartner detects the sheets inside and shows what it found. Tick what to import:
    • Members → Students — names, phones, gender, DOB, address, status
    • Payments + Memberships → Fees — your full payment history, membership periods, and pending balances
  3. Results — a summary per sheet: imported, skipped, and any issues listed by name

Order matters: import Members first (or in the same run) — payments are matched to students by phone number or name.

What the import handles for you automatically:

  • Phone numbers are cleaned — +91 prefixes and leading zeros stripped
  • Payment modes are mapped (Paytm/GPay/PhonePe → UPI, NEFT/IMPS → Bank Transfer)
  • Pending balances become Pending/Partial fees so your follow-up filters work from day one
  • Re-importing the same student updates them instead of creating a duplicate

Exporting

The Export tab downloads a single Excel file with 5 sheets — Students, Fees, Attendance, Leads, and Batches. Your data is never locked in. Reports can also be exported as CSV from the Reports page.
