Editing a student
Change a student's details after admission, and what to do instead of deleting them.
Where
Open the student and choose Edit.
What you can change
- Full name and phone — both required, the record cannot be saved without them
- Email, gender, date of birth, address
- Parent name and phone — for students under 18
- Emergency contact name and phone
- How they found us
- Referred by
- Notes
Adding a referral you missed
The Referred by picker is here as well as on the admission form.
If you forgot to record who referred a student, set it here. Once that student pays, the referring student is still offered a reward. See Referrals & student wallet.
The picker excludes the student themselves, so nobody can be recorded as their own referrer.
Changing a phone number
The phone number is how WhatsApp messages reach them and how incoming replies get matched to their record.
Change it here rather than creating a second student. A duplicate record splits their payment and attendance history across two profiles, and nothing links them back together.
Deleting a student
There is a delete option, and it asks you to type the student's name to confirm.
That friction is deliberate. Deleting removes the record and its history.
Archive instead, nearly always. Archiving hides the student from every screen while keeping their payments and attendance intact, and it frees a slot on the Free plan just as deletion would. There is almost no situation where deletion is the right answer and archiving is not. See Archiving students.
Delete is for a record that should never have existed — a test entry, a duplicate created by accident with nothing attached to it.
What editing does not change
Editing personal details does not touch their membership, fees, batch or attendance. To change what they are enrolled in, use Renew membership or move them between batches from the batch screen.
