Fees

Call list — who to phone about fees today

Fees still unpaid after the WhatsApp reminders, broken promises first. Call, note what the parent said, or record the payment right there.

The Call list is a Pro feature. On Free and Basic the tab shows greyed with a lock.

Where it is

On the Dashboard, the Action Items card has three tabs: Dropout Risk, Collect Today and Call list. The tab shows the first few people; tap View all for the full Call list page.

It needs the Overdue fee reminder switched on in Settings → WhatsApp Automation. Until it is, the Call list asks you to turn it on.

Who appears

On Pro, an unpaid fee gets the overdue WhatsApp message and then 2 reminders, one every 2 days. A student lands on the Call list when a fee is still unpaid after that:

  • After the last reminder — from the day after the overdue message and its 2 reminders went out.
  • A reminder failed — if a message did not go through, the parent may never have seen it. They join the next day.
  • A broken promise — the date they promised to pay has passed and the fee is still unpaid.
  • Never messaged — a fee 7 or more days overdue that got no overdue message at all, for example one from before reminders were on.

Paused, dropped and incomplete students are not on the list. One row per student, even if they owe on more than one fee.

The order

  1. Broken promises first, with a red "late" badge.
  2. Then the most days overdue.
  3. Anyone you called today who did not answer moves to the bottom, greyed, until tomorrow.

What each row tells you

  • The fee and the amount owed, and anything else they owe
  • Who to call — the parent, or the student's own number
  • When they last came to class, or that they have a class today
  • What already went out on WhatsApp — the overdue message and each reminder, with dates
  • Your last call results, such as "Called 7 Oct: promised 18 Oct"

After the call

Tap Call to open your phone, then choose what happened:

  • Will pay on… — pick the day they promised (up to 60 days ahead). They leave the list until that day. If it passes unpaid, they come back at the top.
  • Record payment — opens Record Payment on their profile. Once the fee is paid, they leave the list.
  • No answer — they stay on the list for tomorrow.
  • Not coming — marks the student as dropped. Their unpaid fees are not cancelled; the money stays owed on the Fees page.

Add a Note with any of these (for example "will pay after salary on the 1st"), or tap Save note only. If the parent asks for a link, Send pay link is right there when online fee collection is on.

Every call result is saved on the student's profile in Recent activity.

Who can use it

Anyone with Fees access can see the list and log No answer or a note. Will pay on and Record payment need Fees at Manage; Not coming also needs Students at Manage. A teacher login sees only the students they mark attendance for.
