Automatic WhatsApp reminders
Let StudioPartner chase fees, confirm payments and report your day — without you tapping send.
Automatic reminders are a Pro feature. On Free and Basic, use click-to-send instead.
Where to set them up
Settings → Reminders. Each message has its own switch, so you can turn on one and leave the rest off.
Fee reminders (you choose the timing)
These four run on a schedule. For each one you set a number of days.
| Reminder | When it sends |
|---|---|
| Fee due reminder | A set number of days before the due date |
| Overdue fee reminder | A set number of days after the due date has passed |
| Balance due reminder | Before the date a partial payer promised to clear their balance |
| Balance overdue reminder | After that promised date has passed |
The default for each is 3 days. Most studios settle on 2–3 days before and 2 days after.
The two balance reminders only apply to students who paid part of a fee and committed to a date for the rest. If you never take partial payments, leave them off.
Instant confirmations (no timing to set)
These fire the moment something happens.
- Payment received — sent when a fee is paid in full
- Partial payment — sent when a student pays part of a fee, showing what is still outstanding
- Admission welcome — sent when a new student is admitted, confirming their plan, batch and schedule
The payment confirmations do more work than they look like they do. A parent who gets an instant receipt stops asking whether the money went through, and you stop fielding that message.
Daily business report
This one goes to you, not to students.
A nightly WhatsApp summary of your own studio, sent to your own number: revenue, expenses, pending fees, new admissions, leads and attendance.
Auto-reply
You can also set an automatic reply for students who message the StudioPartner number — useful for setting expectations about when someone will actually answer.
Things worth knowing
Reminders skip students with no phone number. Nothing fails loudly; they are simply not sent to.
A fee that is already paid stops chasing itself. Marking a payment removes that student from the overdue queue on the next run.
Turning a reminder on does not send historical messages. It applies from that point forward.
