Renewing a membership

Start a student's next membership period — with smart date continuity and pay-later support.

When to renew

Renew when a student's membership period is ending or has ended. The Fees page surfaces exactly who needs it:

  • Expiring filter — ending within 7 days (renew before they lapse)
  • Renewal filter — latest membership already expired
  • Unpaid filter — expired but still attending classes

Every row in these filters has a Renew button. You can also renew from the student's profile.


The renewal form

Select Plan (required) — your active membership plans with prices. Picking one auto-fills the amount and calculates the end date from the plan's duration.

Membership Period — the start date is smartly pre-filled to the day after their last membership ended, so there are no gaps or overlaps in their history. Both dates are editable.

Payment:

  • Total amount — pre-filled from the plan, editable (adjust for a custom deal)
  • Paying now — defaults to the full amount; lower it for a partial payment
  • Pay later toggle — collect nothing today; the fee is created as Pending
  • Payment mode — Cash, UPI, Card, Bank Transfer, or Other
  • Payment date — defaults to today
  • Balance payment date — appears automatically when there is a balance or Pay later is on; the student's commitment date for the rest

Notes — optional remarks.

A live Summary card shows plan, period, amount, paying, balance, and mode before you confirm.


Save

Click Save & Record Payment. A new fee record is created with the right status (Paid, Partial, or Pending), and you are redirected to the student's profile. The renewed membership now drives their Expiring/Renewal state going forward.


Tip

Renew before expiry using the Expiring filter — students who lapse for weeks are far harder to bring back than students reminded three days early.
