Dance Studio Software in Delhi NCR: What You Need

StudioPartnerStudioPartner7 min read13 Oct 2026

Running a dance studio in Delhi NCR means running it across three states, long commutes and a hard winter. Your students come from Dwarka and Gurugram, parents pay by UPI from an office in Noida, and in November the air decides how many of them turn up. Most studio software was never built for that, so here is what an NCR studio actually needs from it.

The idea in brief
  • An NCR studio needs batches, cash and UPI fees, attendance, enquiries and WhatsApp in one place, not a generic booking app priced in dollars.
  • If your branches sit in different NCR states, keep each one separate in your records, and check GST with your CA, because registration is state-wise.
  • Plan for smog weeks before November: a written makeup and fee policy, a parent message ready to send, and attendance that shows who has quietly stopped coming.
  • StudioPartner is free forever up to 30 students. Basic is ₹999/month + GST with unlimited students, and each extra branch costs ₹499/month + GST.

What should dance studio software do for a studio in Delhi NCR?

It should hold your students, batches, fees, attendance and enquiries in one place, take cash and UPI side by side, and talk to parents on WhatsApp, not email. In NCR it also has to handle more than one branch cleanly, and keep working when attendance swings through smog and festival weeks.

Most of what ranks for this search is a list of global platforms. As we worked out in the real rupee cost of dance studio software, those are usually priced in dollars and built around drop-in class packs, not monthly batches. A studio in Rohini or Sector 62 runs on batches, monthly fees and a parents' WhatsApp group.

Here is the checklist we would use before picking anything:

What you needWhy it matters in NCRWhat to check
Batches by timing and levelEvening slots fill around office and school commutesCan you see every batch's strength at a glance?
Cash and UPI fees in one recordParents pay both ways, often in the same monthDoes it show who is paid, partly paid and overdue?
WhatsApp remindersParents read WhatsApp, not emailCan you send a fee reminder in a tap?
More than one branchStudios often add a second centre across a state lineDoes each branch keep its own students and batches?
Attendance with follow-upsSmog and festival weeks hide real dropoutsCan you spot students who have stopped coming?
Enquiry trackingWalk-ins and calls spike before summer and wedding seasonDoes every enquiry get a follow-up date?

If a tool misses the first three, it is not built for an Indian studio, wherever the vendor is based. You can see how the pieces fit in our dance studio management software overview.

Batches

Every batch, its timing and its strength in one view.

Fees

Cash and UPI side by side, with dues visible.

Attendance

Marked per batch, so drift shows early.

WhatsApp

Reminders go where parents actually read.

How do you manage dance studio branches across Delhi, Gurugram and Noida?

Run every branch from one account, but keep each branch's students, batches and fees separate so you can see which centre is actually earning. If your branches are in different states, check GST with your CA. Registration is state-wise, so a Gurugram or Noida branch may need its own GSTIN.

NCR is one city on the Metro map and three jurisdictions on paper. Delhi is its own territory, Gurugram and Faridabad are in Haryana, and Noida and Ghaziabad are in Uttar Pradesh. Under GST, a branch in a different state generally needs its own GSTIN, even under the same PAN. A second centre in the same state is usually added to your existing registration instead. Whether you need to register at all depends on your turnover, which we cover in GST for dance studios in India.

Here is how we would set up a studio with a main centre in Janakpuri and a second one in Gurugram on StudioPartner. Both branches sit under one login. Batches are created inside the branch they run in, and each student and fee belongs to the branch they attend. So when you ask "is Gurugram paying for itself yet?", the answer is in your records, not in your head. The steps are in our help guide on branches, and on Basic or Pro the second branch costs ₹499/month + GST.

If teachers run the second centre, give them their own logins rather than sharing yours. Staff accounts and roles come with Pro.

How should an NCR dance studio plan for smog and hybrid-school weeks?

Decide your rules before November, not during it. Write down whether missed classes get makeups, whether fees change if you move a batch online, and how you will tell parents. Then watch attendance closely, because a smog week is when students drift away, and some never come back.

This is not hypothetical. On 25 November 2024, the air quality panel ordered schools in Delhi, Gurugram, Faridabad, Ghaziabad and Gautam Buddh Nagar to run classes in hybrid mode, and left the choice of going online to students and guardians. That order covered schools, not dance studios. But when parents are keeping children home from school, an evening dance batch is an easy thing to skip too.

Three things make that season manageable:

  • A written policy. Say plainly whether missed classes carry forward, for how long, and whether the monthly fee stays the same. Parents argue far less over a rule they saw in October than one invented in December. Our guide to handling late fee payments has wording you can adapt.
  • One clear message. Draft the WhatsApp note now: which batches are running, what happens to missed classes, and who to contact. How to communicate with parents covers the tone.
  • Attendance you trust. If attendance is marked every class, a student absent for two weeks shows up as a pattern, not a surprise in January. Follow up with those families first. Our post on reducing student dropout explains why that window matters.

In NCR, November tests your systems. If your rules, your message and your attendance are ready in October, a bad air week costs you classes, not students.

How do you collect dance class fees from busy NCR parents?

Make paying a one-minute job. Send a polite WhatsApp reminder with the amount and due date, accept UPI and cash, and record each payment the day it arrives. In a city of long commutes, most late fees are forgotten, not refused, and a clear reminder sorts out most of them.

The trouble is rarely the reminder itself. The trouble is knowing who to remind. If cash goes into a register and UPI payments sit in your phone's payment history, you end up asking a parent who has already paid, which is the fastest way to annoy them.

In StudioPartner, every payment, cash or UPI, goes against the student's fee, so the overdue list is accurate before you message anyone. On Basic you send WhatsApp fee reminders in a tap. Pro adds WhatsApp automation and an inbox, plus online fee collection by UPI, card or netbanking, so parents can pay without a trip to the front desk. See fee management for how dues and payments are tracked.

How much does dance studio software cost for a Delhi NCR studio?

FAQs

Is there dance studio software built for Indian studios in Delhi NCR?

Yes. StudioPartner is studio management software built for Indian dance, music, yoga, martial-arts and fitness studios, priced in rupees. It handles students, batches, fees, attendance, leads, reports and WhatsApp reminders. Most other tools in search results are global platforms priced in dollars and built around class packs rather than monthly batches.

Can one software handle my Delhi and Gurugram branches?

Yes, if it supports branches properly. In StudioPartner, both centres sit under one account, while each branch keeps its own students and batches. The Free plan covers one branch. On Basic or Pro, each extra branch costs ₹499 a month plus GST, so a second centre does not mean a second subscription.

Do I need a separate GST registration for a Noida or Gurugram branch?

Possibly. GST registration is state-wise, so a branch in a different state from your main centre generally needs its own GSTIN under the same PAN. A second centre in the same state is usually added to your existing registration. Whether you must register at all depends on turnover, so confirm with your CA.

Can my teachers mark attendance on their phones?

Yes. StudioPartner runs in the phone browser, so attendance can be marked per batch from the studio floor. If you want teachers to have their own logins instead of sharing yours, staff accounts come with the Pro plan, along with payroll. The attendance tracking page shows how it works.

How do I move from a register or Excel to software?

Start with your student list. If it is already in Excel, you can import it, or the StudioPartner team will load it for you free. Then set up your batches, record this month's fees, and mark attendance from the next class. A 14-day free trial, with no card, lets you test it on real batches.

What to do first

Before you compare any software, run the free Studio Health Check to see where your studio is leaking time and fees. Then write your November makeup and fee policy while October is still calm. If a second branch is on your mind, call your CA about GST before you sign the lease.

Run your whole studio from one place.
