UPI ID or QR code
This is where most studios start, and for a single batch it is fine. The catch shows up at scale. A parent pays ₹2,500 from their spouse's account, the name on the credit does not match the student, and you spend ten minutes working out who it was. Multiply that by 60 students and it becomes a monthly afternoon.
Payment gateway links
A payment gateway lets you create a link for an exact amount, accept cards and netbanking as well as UPI, and get money settled to your bank. You usually need your own gateway account, business KYC, and some way to connect payments to your student records - otherwise you are back to matching by hand.
Fee software with payment links
Here the link is created from the fee itself. The parent pays, and the software updates that student's fee to paid. No screenshot, no entry, no reconciliation. This is the only option where "paid" in your records and "paid" in reality are the same event.
Why do parents delay paying studio fees?
Most late fees are not refusals. They are friction: the parent means to pay, but it needs the UPI ID, the exact amount, and a moment when they are not driving or at work. Remove the friction - one tap, the right amount already filled in - and a big share of "late" payments simply stop being late.
We see the same pattern across studios. The families who pay on the 1st are rarely more committed than the ones who pay on the 12th. They just paid when it was easy. A message that says "fee due" asks the parent to do work. A message with a link that opens straight to the amount due asks them to do almost none.

Set it up in five steps: decide your method, finish bank and KYC details once, create a link per student fee, send it where parents already are (WhatsApp), and make sure each payment updates your fee records automatically. The last step is the one most studios skip, and it is the one that saves the time.
- Pick one method for everyone. Mixing QR for some families and links for others recreates the reconciliation problem.
